How far in advance should I reserve my motorcoach?

It is never too soon to reserve a motorcoach. There are often times during the year when we are extremely busy, so you are encouraged to reserve well in advance of your departure in order to ensure availability.

Will there be a written contract for the bus?

Yes. When a motorcoach is booked with Southeastern Stages, you will be provided with all of the details of your trip in writing, we call it a charter confirmation. Your charter confirmation will contain specifics like the departure date and time, type and size of the motorcoach, the itinerary and a summary of the charges. When you receive the contract, please make sure to review it carefully and provide us with any additional information. Then sign the contract and return it promptly with the required deposit.

Is a deposit required and if so, how much and when?

A deposit is required within 7 days after receiving your contract. The deposit for a charter is $100.00 for each $1,000.00 or fraction thereof. A charter of up to $1,000.00 will require a $100.00 deposit. A charter between $1000.01 and $2,000.00 will require a $200.00 deposit, and so on.

When is the final payment due?

The final payment is due 14 days before the first departure date. If booking with less than 14 days before departure, the full amount will be due at the time of your reservation. We gladly accept cash, certified check, or credit card.

What is the refund policy?

If you cancel 14 days or more prior to your trip, you will be entitled to a full refund.

Can you accommodate passengers with disabilities?

Yes, we operate one of the largest fleets of ADA compliant motorcoaches in the Southeast. There is no extra cost; the only thing that will be different is we must remove 4 seats per wheelchair so your motorcoach capacity will need to be adjusted accordingly.

Where can I meet my motorcoach? How do I choose my pickup location?

On a private charter, we can meet your group anywhere that a motorcoach can access. Some residential streets are narrow, so please take that into consideration when planning your pick-up location. Our experienced charter representatives are here to help you select the most suitable location, just ask. If you want to use a public parking lot, please call the manager of the establishment and get permission from them.

What are some of the motorcoach’s special features?

Our motorcoaches are among the most technologically advanced vehicles available for charter. Each of our vehicles is equipped with all manner of safety technology (including stability control, anti-lock brakes, seat belts for each passenger seat and even passive collision avoidance). In addition, we’ll provide a full audio/video system for your entertainment, comfy seats, plenty of storage (both inside and underneath) and even complimentary Wi-Fi (on a limited basis). How long can a driver be on duty each day?

While on your trip remember that your driver MUST comply with Federal hours of service regulations, which state: A driver cannot drive more than ten (10) consecutive hours or be on duty longer than 15 hours without having at least eight (8) consecutive hours off duty. This time begins when the driver reports to work, not when the motorcoach is scheduled to meet your group. We ask that you keep us informed of any alterations to your plans before departure and be sure to clear all changes with your charter representative while on your trip to insure that we can accommodate your change requests. For journeys over 500 miles, you will need to decide whether to stop overnight along the way, or drive continuously to your destination. If you choose to drive straight through, an additional (relay) driver will be provided for an additional charge.

Is smoking or drinking allowed on your motorcoaches?

For the health and safety of our passengers and drivers, smoking (including the use of e-cigarettes) is not allowed on any of our vehicles. Alcohol is generally not allowed, except when consumed in a responsible manner on some of our motorcoach tours (advance permission must be received from your charter sales representative). Charter groups may transport unopened alcoholic beverage containers in the luggage bays for use at their destination.

When could a damage deposit be required?

We may require a damage deposit for certain trips where we typically might expect complications (on trips where alcohol may be present, for example). The damage deposit is refunded if the motorcoach is returned in the same condition as when it left. We ask that you bring large garbage bags and take a little time to “tidy up” before saying “farewell” to your motorcoach. Some or all of the damage deposit may be retained if there is damage to the motorcoach or if we need to spend an excessive amount of time tidying up after you.
